Review source context, owners, permissions, and history. Check ROT, sensitivity, retention, and AI readiness within the analyzed scope. Keep estimated opportunity distinct from proven savings.
Approve the Next Step
Define the purpose, information, reviews, and approvals. Collections can come from Refinery or Memory with source context and classifications. A Collection does not grant additional access.
Act and Follow the Result
Use a supported workflow. Workflow Builder defines reviews and approvals; Trusted Action Hub coordinates handoffs. Track results and exceptions; completion requires evidence from the responsible execution system.
Clean Up ROT
Review redundant, obsolete, or trivial content. Check retention, legal holds, authoritative copies, permissions, and required approvals before authorized cleanup. A finding identifies a candidate; it does not authorize deletion.
Legal Review
Build a scoped Collection with source context, relationships, and review history for authorized reviewers.
AI Prep
Approve current, relevant information for a defined AI use within existing access controls. Track its use, results, and exceptions through the Portal.
